Job Overview

Our client, a fast-growing office in Malta, is seeking a Receptionist/Secretary to join their team. The ideal candidate will be a cordial, smart, highly motivated, and forward-looking individual who is meticulous, organized, and capable of working on their own initiative.

Responsibilities:

  • Responsible for the front office and reception area, ensuring that it is always presentable and welcoming
  • Provision of general secretarial support, including drafting correspondence and managing the diary of senior staff members
  • Answering incoming calls, emails, and correspondence, and directing them to the relevant person
  • Undertaking office administration tasks, including photocopying, filing, and archiving
  • Updating spreadsheets and maintaining records as required
  • Registering employees for training sessions and keeping track of training records
  • Liaison with office suppliers to ensure that the office is well-stocked with stationery, equipment, and other supplies
  • Assisting senior staff members with day-to-day tasks as required, once fully settled into the initial role.

Requirements:

  • Fluent in both Maltese and English, both written and spoken
  • Previous experience in a corporate service provider or legal industry preferred
  • Competent with MS Word and MS Excel
  • Friendly, open, and approachable personality with excellent communication and interpersonal skills
  • Ability to work independently and use own initiative
  • Highly organized with excellent attention to detail.
