Our client, a fast-growing office in Malta, is seeking a Receptionist/Secretary to join their team. The ideal candidate will be a cordial, smart, highly motivated, and forward-looking individual who is meticulous, organized, and capable of working on their own initiative.
- Responsible for the front office and reception area, ensuring that it is always presentable and welcoming
- Provision of general secretarial support, including drafting correspondence and managing the diary of senior staff members
- Answering incoming calls, emails, and correspondence, and directing them to the relevant person
- Undertaking office administration tasks, including photocopying, filing, and archiving
- Updating spreadsheets and maintaining records as required
- Registering employees for training sessions and keeping track of training records
- Liaison with office suppliers to ensure that the office is well-stocked with stationery, equipment, and other supplies
- Assisting senior staff members with day-to-day tasks as required, once fully settled into the initial role.
- Fluent in both Maltese and English, both written and spoken
- Previous experience in a corporate service provider or legal industry preferred
- Competent with MS Word and MS Excel
- Friendly, open, and approachable personality with excellent communication and interpersonal skills
- Ability to work independently and use own initiative
- Highly organized with excellent attention to detail.
